Odoo sending and receiving through your own provider, and the SPF, DKIM and DMARC records.
Odoo sends quotes, invoices, password resets and notifications, and can take the replies into the chatter of the record they answer. It does that through a mail provider of your own: a Google Workspace mailbox, or a relay such as Brevo, Mailgun, Postmark or Amazon SES. The Mail page of an instance sets Odoo up for it and tells you, or writes, the DNS records the domain needs.
Setting it up
- Pick the provider. Its server is filled in for you.
- Give the address Odoo sends as, and the username and password of the provider. For Google that is a mailbox for Odoo, such as odoo@ your domain, with an app password.
- Leave Read replies into Odoo on to have Odoo collect the replies from a mailbox every five minutes.
- Paste the DKIM records the provider shows when you add the domain there.
- Set up and test. Odoo's outgoing server, its incoming server and its sending domain are set, and Odoo logs in to both to check. When it cannot send, nothing is changed in Odoo and the page says why.
The passwords go to Odoo only. oCloud does not keep them, so give them again to change the setup.
Who mail is sent as
A Google mailbox only sends as itself, so every mail goes out from that address, with the name of the person who wrote it. A relay sends for the whole domain: colleagues with an address at the domain send as themselves, and everybody else, a portal user for instance, as the address you gave.
Mail goes out on port 587 with STARTTLS. Cloud servers cannot send on ports 25 and 465, and Odoo checks the provider's certificate from Odoo 19 on.
DNS records
Receiving servers trust mail from your domain when its DNS says the provider may send it. The page lists what the domain needs and what it has now:
- SPF, for providers that need it: the provider is added to the one SPF record the domain may have, before its
all. - DMARC, when the domain has none:
v=DMARC1; p=none, which asks for nothing to be rejected yet. - The provider's records, usually DKIM, as you pasted them.
When the domain is in a Cloudflare account connected on the team page, the records are written for you on every save, and never proxied. Otherwise add them where the domain's DNS is hosted and press Check DNS.
Microsoft 365
Microsoft stopped accepting passwords for sending mail in April 2026. Use Odoo's own Outlook sign-in under Settings, Discuss, or send through one of the relays.
Turning it off
Turn off archives the outgoing and incoming servers oCloud made in Odoo. Servers you set up in Odoo yourself are left alone. Staging copies are neutralized, which switches mail off in the copy.
